Creating a Single Version of the Truth.
In a collaborative effort, the offices of Campus Planning & Facilities Management (CPFM), the Controller, and Information Management & Analysis (IMA) established a single, authoritative source for facilities information at the University of Texas at Austin. This source, the web-based application known as WORQSpace, is a space information management tool used to collect data for reporting building and room information to the Texas Higher Education Coordinating Board (THECB) and as a basis for Indirect Cost Recovery calculations. In addition, this repository is an infrastructure component for asset inventory and the Work Order Request & Query System (WORQS). The goal is to integrate this data source with other enterprise tools.
This sustainable space management tool has allowed the University to consolidate its annual space survey performed by IMA with the biennial survey conducted for Indirect Cost Recovery. WORQSpace is an “evergreen” system (continuously updated) for ongoing location information maintenance. Departmental Space Coordinators are able to generate reports and perform updates throughout the year.
