16.5.5.5. PROPERTY REMOVAL AND RETURN PROCEDURES
This procedure pertains to property removed through other than normal shipping and receiving procedures.
A Material Control Form with the "Removed From" block marked will be prepared in duplicate for all property being taken from The University of Texas at Austin Applied Research Laboratories (ARL:UT) site. Property that is being temporarily taken to the Lake Travis Test Station (LTTS) does not require a Material Control Form.
The employee intending to remove property from ARL:UT will be responsible for making a request to the division head or the contract supervisor responsible for the property. The division head or contract supervisor will grant approval by signing the Material Control Form.
The security personnel on duty will ascertain that approval has been granted and will retain one copy of the Material Control Form at the time of property removal. The Security Office will return this copy to the Property Office, which will maintain a suspense file for property removed from the premises.
For more information about removal of government property from UT premises, see the Handbook of Business Procedures Part 16.5.3 D.
Handbook of Business Procedures Part 16.5.2. D
When removed property is returned to ARL:UT, a second Material Control Form marked "Returned To" will be completed and left with security personnel. This form will then be forwarded to the Property Office where the removal and return forms will be filed together in a history file for a period of one year. Periodically, removed and returned property records will be reconciled to assure that all property has been returned to the laboratory.
All persons bringing property into the laboratory that is not assigned to ARL:UT will make and sign a Material Control Form. Security personnel on duty will send the form to the Property Office through the Security Office.
