
PBS Release Information for *DEFINE Office Managers and DelegatesThe following information pertains to the June 26 release of the PBS document and is intended for *DEFINE office managers and delegates. PBS documents are created and approved in POINT Plus on the web. Authorizations for viewing and creating the PBS document are maintained in the PBM menu in the *DEFINE US1 command. Desks currently authorized for all PBM commands will also be authorized for this new web based document. PBS documents are also designed to automatically route hierarchically to a department's dean or vice-president after the department has approved them. Note: If you are responsible for Dean/VP routing for any of these units, please make sure PBS routing gets established. Do I need to take any action? As an electronic office manager or delegate you control what *DEFINE commands are accessed by your staff. As mentioned above, desks that are currently authorized for all PBM commands already have authorization for PBS. Staff members who do not have PBM authorization and need to process PBS documents will either need their current desk(s) authorized for PBS or be added to another desk that has PBM authorization. Authorizations are maintained in Section 5 of the US1 command in *DEFINE. You should review your routing paths to ensure that the PBS document will route appropriately. You may need to create a different routing path from your other PB documents, and you may need to alter the signers. Also, if you are responsible for Dean/VP routing you need to ensure that Dean/VP routing for PBS is setup. Routing is maintained in Section 6 of the US1 command in *DEFINE, and electronic signers are maintained in Section 7. Is there a deadline for completing any changes I need to make? The PBS document will be available starting on Monday, June 26. Your electronic office changes can be made any time before or after this date. Just note that your staff may not be able to complete their work if authorizations and routing are not set up in a timely fashion. Where can I find more information?
