PG3 & PG4 Release Information for *DEFINE Office Managers and Delegates

The following information pertains to the release of the PG3 and PG4 commands and is intended for *DEFINE office managers and delegates.

The PG3 and PG4 commands are modified GG3 and GG4 screens that display the UT EID and Vendor ID/Tax ID for a vendor. Users that process purchasing and payment documents will need access to the PG3 and PG4 commands to verify that their electronic documents are for the correct vendor.

Authorizations for viewing the PG3 and PG4 commands are maintained in the PGM menu in the *DEFINE US1 command. Desks currently authorized for all PMM commands will also be authorized for these new commands.

Do I need to take any action?

As an electronic office manager or delegate, you control what *DEFINE commands are accessed by your staff. As mentioned above, desks that are currently authorized for all PMM commands already have authorization for PG3 and PG4. Staff members who do not have PMM authorization and need to view the UT EID and Vendor ID/Tax ID for vendors will either need their current desk(s) authorized for PG3 and PG4 or be added to another desk that has PGM authorization. Authorizations are maintained in Section 5 of the US1 command in *DEFINE.

Is there a deadline for completing any changes I need to make?

The PG3 and PG4 commands are available now so electronic office changes can be made at any time. However, these changes should be made prior to February 2, 2007 when the GG3 and GG4 screens will no longer display the vendor ID. Please note that your staff may not be able to complete their work if authorizations are not set up in a timely fashion.
