How to Use the Schedule
- Open the University of Texas at Austin Records Retention Schedule (UTRRS) to search the most recent approved schedule for the university.
- Click the Find button (
), which looks like binoculars, to search for a record category. (e.g., "time" for time sheets.)
- Use the Find Again button (
) to continue to search for the same word.
Note: Agency Item Numbers that begin with AALL are designed to be used by the entire campus.

When you find the correct category, write down the following to complete the Internal Approval to Dispose of State Records Form:
- UT Item Number
- Record Title
- Retention Period
- Archival Review Status
- Submit the appropriate Request for Internal Approval to Dispose of State Records Form.
- When you receive the approved form via campus mail, dispose of the records.
