The help provided below is intended to assist individuals who are approvers of the PBS document on the Signer Desk within a department, or an approver on a desk within Dean/VP routing.

As an approver within departmental and Dean/VP routing what are my responsibilities?

As an approver you are responsible that the PBS pending your approval adheres to the Authorization for Individual Services (AIS) rules. Additional responsibilities and procedures may apply depending on your department and college.

It is important to remember that the procedures applying to the AIS have not changed. The same rules that apply to the APS apply to the PBS document.

 

How do I approve a PBS document that has routed to my inbox?

To access and approve the PBS document you must use your web inbox or login to the Point Plus web site. The PBS will also appear in your *DEFINE inbox, however the PBS is a web only document and cannot be accessed from *DEFINE.

To quickly find all PBS documents that are awaiting your approval you can filter your web inbox to show only PBS document by using the Range pull-down menu and selecting PBS--Auth Ind Svc.

Select the PBS document that you wish to approve by clicking the Summary link.

Clicking the Summary link for the PBS document that you wish to approve will open the document using Point Plus, placing you on the Summary web page. From the Summary web page you can view the details of the PBS and approve the document. When you are ready to approve the document from the Select an Action pull-down menu select the APP - Approve and route forward action and click the GO button.

The document has successfully been approved and routed forward (if necessary) when the following message appears.

How do I change Desk / View?

To change your Desk / View you must click the Desk / View link located in the upper left corner of the PBS web page.

When the Desk / View link is clicked a pop-up window will appear allowing you to change to another Desk / View. Select the Desk / View that you would like to change to and click the Update Authorizations button. After you have clicked the button click the Close This Window link located in the upper right corner of the the pop-up window.

How do I view routing history / prior approvals?

To view the prior approvals for a document you must click the routing link located in the upper left corner of the PBS web page.

When the routing link is clicked a pop-up window will appear allowing you to view the prior approvals for the document.

How do I view or write notes?

To view or write additional notes to the document that you are viewing you must click the notes link located in the upper left corner of the document's web page. The notes link contains a number which indicates the number of notes that have been entered. The example below is for a document containing no notes.

When the notes link is clicked a pop-up window will appear allowing you to view the current notes on the document and text fields allowing you to enter your own notes.

There is no PRT option. How do I print the document?

The PRT option currently not available for the PBS. If you need to print the document you must use the web browser's print option.

Typically an approver will not be required to print the PBS document and submit documentation along with a signature, or obtain a signature from the vendor certifying that services have been performed. These actions are the responsibility of the document's creator.

As an approver what manual signatures do I need to get?

An approver does not need to obtain any manual signatures. Although the Summary web page has a signature line at the bottom it is used by the PBS document creator for the vendor's manual signature.
