Fine Arts Insurance

A. General Information

Fine Arts items include works of art such as paintings and sculptures, rare books, antiquities, and other special items.

Department contacts work with the Risk Management section of the Office of the Controller on insurance issues.

If you want to be informed of changes to the Fine Arts insurance, make sure that you are on the listserv "fine-arts-insurance-contacts". To be added, please go to https://utlists.utexas.edu/sympa/info/fine-arts-insurance-contacts, click on the "Subscribe" link, and submit your email address.

B. Transporting Fine Arts Items or Rare Books On and Off Campus

1. Fine Arts with a Value of More than $50 Million

Notify Risk Management in the Controller’s Office at UT Austin via email at oa.riskmgt@austin.utexas.edu prior to transporting Fine Arts items on or off campus with a combined value in excess of $50 million per conveyance (single vehicle) or per single bill of lading. This includes incoming items on loan from other institutions. The insurance policy provides no more than $50 million of transit coverage unless an exception is requested in advance.

Include the following information in your message:

  • The statement "MOVING MORE THAN $50 MILLION IN FINE ART VALUE" (in the subject and the body of the message)
  • Dates of shipment
  • Total value per conveyance
  • Type of vehicle used (i.e. car, truck, train)
  • Exhibit name, if applicable
  • Description of items being transported
  • Beginning location (building or address, city, state)
  • Ending location (building or address, city, state)
  • Indication of whether the shipment is an inbound loan or an outbound loan
  • How items are packed
  • Owners of the items
  • Indication of whether the items are intended for storage or exhibition
  • Department, contact, and phone number

Risk Management should be notified at least 5 business days before the move. After sending the email, call 471-3723 to make sure that they have received the information.

C. Fine Arts or Rare Books Acquisitions of $1 Million or More

Notify Risk Management in the Controller’s Office at UT Austin via email at oa.riskmgt@austin.utexas.edu within 30 days of acquiring Fine Arts items totaling $1 million or more in value. After sending the email, call 471-3723 to make sure that they have received the information.

Include the following information in your message:

  • The statement "ACQUISITION OF $1 MILLION OR MORE OF FINE ART" (in the subject and the body of the message)
  • Total value acquired
  • Inventory number, value, and description of each item
  • Date(s) item(s) received
  • Location where item(s) are housed (building or address, city, state)
  • Department contact
  • Department phone number

D. Fire Protection and Other Warning Systems

Notify Risk Management in the Controller’s Office at UT Austin via email at oa.riskmgt@austin.utexas.edu when your fire protection system, fire alarm, or other security warning systems in your department will be placed out of service for a period of more than 12 hours. Send the notification as soon as possible or 5 business days before the system will be placed out of service if you know ahead of time. After sending the email, call 471-3723 to make sure that they have received the information.

Include the following information in your message:

  • The statement "FIRE PROTECTION AND OTHER WARNING SYSTEMS" (in the subject and the body of the message)
  • Description of system disabled
  • Date(s) out of service
  • Location (building or address, city, state)
  • Department contact
  • Department phone number

E. Claims

Contact oa.riskmgt@austin.utexas.edu immediately upon discovery of a loss.
