UT Goods and Services (UTGS)
UTGS is an online shopping portal for the purchase of university goods and services. UTGS is being developed in several phases as a subsystem of FRMS where departments can purchase goods and services from other departments (service centers). Currently, a department places an order for goods or services via website, phone, e-mail, or in person, and the service center bills the requesting department by processing a VT5 document, which the requesting department does not have the opportunity to review.
In UTGS, a department will be able to shop for services using an online catalog, add items to a shopping cart, and assign the cart to someone in the department who is authorized to make the purchase. When that person adds the account number(s) and approves the order, it will route through the department for approval. At any time before final approval, department codes can be added to all accounts used on the order. Once the order is final approved, the funds will be encumbered, and the billing and payment will occur automatically, as it does in UT Market.
Individuals will also be able to purchase goods and services from departments as appropriate, using personal payment methods, such a credit cards.
Usability Testing
Usability testing for the UTGS system will occur over the next several months. For testing, the project team would like to include people who purchase goods and services from other departments (service centers) and who do any of the following:
- shop and add items to a cart
- approve departmental orders
- track/review billing and payment
- reconcile accounts and/or use departmental codes
- run reports
- maintain a service center
