Phase 2 Development Underway

The university is currently developing Phase 2 of HRMS and will release this version on November 2, 2009. Over the coming months, users will receive updates on the software during its development and information on training and testing to prepare for the transition.

Highlights for Phase 2

Phase 2 of HRMS will build on the foundation of positions implemented during Phase 1. Positions will be created for faculty and students, which means that in November 2009, positions for all university titles will be included in HRMS.

Other Phase 2 features include:

  • Attach-a-file functionality for classified and A&P job applicants. (This will become available near the summer of 2009).
  • A simplified management process of appointments through HRMS, which will eliminate user-created and approved appointment processing through *DEFINE.
  • Web-based processes for pay adjustments and separations.
  • A My Employees page to give supervisors insight on their employees.
  • Simplified leave without pay processing.
  • Departmental codes used to track and report on transactions across years and by project.
  • Additional reporting and analytical tools (via IQ, the university’s business intelligence and data warehouse).
  • A mass salary update process, (This feature will be available in early spring 2010).
Phase 2 will also introduce the university to a new concept: affiliated workers.

Affiliated workers are broadly defined as anyone doing work for the university who is not considered a traditional employee. These include unpaid workers, such as volunteers, visiting researchers, and visiting students as well as groups that are paid on a temporary basis, such as independent contractors, and casual employees. Affiliated workers also include employees of contractors, employees of UT affiliated organizations, and employees of city, state, or federal agencies. Adding affiliated workers to HRMS will give users much more accurate data about the people on our campus and will establish the framework to enable worker payment processes (both payroll and accounting voucher processes) and initial access to services through HRMS during a future phase.
