Policies & Booking Procedures

Approval to use the Facilities

  • For you to reserve a room or service of the Thompson Conference Center or the LBJ Auditorium, your program must be educational in content and designed not to make profit for your organization, not involve any political or religious content or include the selling of any product.
  • An Academic Dean or TCC Director must approve all requests. All publicity and advertisements must also be reviewed and approved by TCC Director.
  • The Thompson Conference Center follows The University of Texas at Austin’s holiday closure schedule.
  • TCC will not provide insurance coverage for your event.
  • Room Rental

  • A room fee is charged per four-hour unit (8am - 12 noon, 1 pm - 5pm, 6pm - 10pm). Additionally, any reservation covering part of two units - for example 8am to 5pm - would involve a charge for two full units.
  • Users of TCC facilities and services are financially responsible for damage to rooms, furniture, and equipment.
  • Weekend events reserved after 5:00 pm Friday through Sunday will be assessed a $50 per room weekend fee.
  • Cancellation Policy

  • Programs that cancel within five (5) business days prior to the start will be charged the full room fee. While those that cancel within (6-30) will be charged 50% of the room fee and (31-90) the charge will be 25% of the room fee, those that cancel within(91-180) the charge will be 10% of the room fee. In all cases, a charge will be made for all unrecoverable expenses incurred by TCC as a result of planning for the program. In the event that rooms can be rescheduled for other programs, the room fee will not apply to those rooms rescheduled.
  • Refreshments and Catering

  • TCC has an exclusive contract with Sodexo catering company and does not allow any outside food or refreshments into the facility. Outside food or beverages brought into the facility will be removed and the hosting organization will be assessed a $150.00 service charge per occurrence.
  • Due to health regulations, catered items may not be removed from the facility.
  • Guarantees for an event must be given 3 business days in advance. If the guarantee is not received on time, we will assume the original number is correct.
  • Catering cancelled within 3 business days of the event will be charged 50% of the total.
  • There is a 10% service fee for evening events. There is also a $35 fee for Sunday events and events with less than 25 people.
  • TCC operates a cafeteria-style dining room called Under the Oaks. Under the Oaks is open Monday through Friday - 7:30am to 3:00pm and 5:00pm to 7:00pm (Monday through Thursday). Summer Hours (mid-June through Labor Day) are Monday through Friday 7:30am to 2:00pm.
  • Audio Visual

  • TCC has a wide variety of audiovisual equipment and services. All AV needs are to be guaranteed three days in advance. Additional fees may apply for an elaborate set up or if the room is to be completely cleared. Internet access is available; please discuss your requirements in advance with your coordinator. You must ask for permission to photograph or video tape here in the facilities. A brief consultation is included with the room rental. Additional tech assistance is available. Tech staff cannot assist with or be held responsible for personal audio visual equipment.
  • Parking/Parking Fees

  • Beginning January 1, 2013, TCC will assess a parking fee to all clients based on the number of participants in the event. For the Cafe (Dining), Auditorium (1.110), 2.120, 2.102 and 3.102 a $60 parking fee will be assessed. The Lady Bird Johnson Auditorium will have a $100 parking fee assessed. For all other rooms a $25 parking fee will be assessed per room per day or half day.
  • There are a limited number of parking spaces (241) in Lot 40 available to those attending programs at the Thompson Conference Center. (Lot 40 is located at the corner of Dean Keeton and Red River Street.) Please do not park in Lot 38 or 39 at the risk of being ticketed or having your car towed. TCC is not responsible for tickets. The appeals process should be followed in the event that your car is ticketed. Please see UT Parking and Transportation for any questions on parking rules and regulations at .
  • The Manor Parking Garage (MAG) is the closest garage to TCC; standard parking rates apply. Street parking is also available. Please check locations on the UT Website: www.utexas.edu/parking/maps/index.html.
  • Large group parking and buses can also be accommodated, with prior permission from the Parking & Transportation Department.
