Business and Hotel / Catering Contracts

Departments or other academic units within the College of Liberal Arts entering into a business contract or agreement with an outside contractor must follow the Office of the Vice President and Chief Financial Officer’s guidelines for submitting business contracts for review, approval, and execution.

Following the VP/CFO guidelines, departments may submit contracts for review directly to the Office of the VP/CFO using their required Business Contract Review Form. However, departments and units are encouraged to work through the Dean’s Office for appropriate advance preparation of documentation to enhance its likelihood of being executable by the University.

Best practice: When an entity outside UT Austin presents you with anything that requires signature, immediately involve the Dean’s Office and Senior Grants and Contracts Specialist for Post-Award Administration Destin Ray Smith. It does not matter how simple or short the agreement appears. If someone not within UT Austin is asking you to sign something, send it to Destin for review. Remember: no one at the departmental/unit level is authorized to legally represent the University by signing any binding agreement with an outside entity.

Destin will review the agreement and will work with departments/units, outside entities, and the VP/CFO Office to help ensure that the final agreement meets College, University, System and State regulations.

Destin is also available for review of internal inter-departmental agreements to further ensure their uniformity and compliance with College of Liberal Arts standards and preferences in the best interests of the department/unit.

Hotel/Catering Agreements: Departments/units are required to direct agreements involving hotels and/or catering for official conferences/meetings to Destin for review. Destin is the delegated authority to review, negotiate, and execute such agreements for departments/units within the College of Liberal Arts.  As applicable he will process these agreements for official execution or otherwise coordinate appropriate processing.
