Alternate Work Schedule Policy

The College of Liberal Arts allows for the possibility of alternate work schedules, under the following policy.

Flexible work schedules come in many forms.  For the most part, the College of Liberal Arts encourages the use of flexible scheduling as it can contribute to better work/life balance.  However, not every arrangement is conducive to the success of a given unit, and thus some care should be put into making sure any alternate schedule is as fair and advantageous to the workplace as possible.


How It Works

A “compressed work week” is a fixed 40-hour work week worked in fewer than five full days.  This arrangement is not encouraged as there are not many full-time staff positions with job functions well suited to such a schedule.  Requests for a compressed work schedule will be considered on a case-by-case basis and require Liberal Arts HR approval.

“Flextime” requires a standard number of hours to be worked during a seven-day week.  It can include either fixed or varied starting/ending times throughout the week as long as the core operating hours of the unit are covered each day.   The Handbook of Operating Procedures for UT Austin states that “all offices must be open during the hours from 8 a.m. to 12 noon and 1 p.m. to 5 p.m, Monday through Friday, except on official University holidays.” [HOP 9.32]  However it also states that: “departments may stagger the work day of their personnel between the hours of 7 a.m. and 6 p.m.” provided that the core hours are staffed.  If an employee wants to request a varied flextime agreement, it is especially important that the employee and supervisor address all of the points noted on the Flexible Work Agreement as well as consider the general effect on morale and work of other staff. (Note: it might work best if these efforts were coordinated within a unit.) 

Generally speaking, full-time classified employee work schedules should not include being out of the office Monday-Friday for more than eight hours within a two-week period. 

If an employee has a flexible work arrangement and receives a Level 1, 2, or 3 Reminder, the flextime privileges may be revoked.  The employee may re-request a flexible work schedule once the Reminder has expired. 

Flextime work schedules require a Flexible Work Agreement on file in the Dean’s Office (approved at the departmental level).  Approved work schedules should be accurately reflected in the time sheet system [https://utdirect.utexas.edu/pntime/index.WBX]

For a full-time (40-hour) appointment, work schedules should include at minimum a thirty-minute lunch break per day, taken in the middle of the day (not the first or last 30 minutes of the scheduled work day). 

Job-sharing is rarely utilized within Liberal Arts, but it can be an option given the specific circumstances of the unit.  If you wish to discuss implementing job-sharing in your unit, please contact Gail Davis.
