Spring 2013 Site Review

Position: File Clerk
Student: Sociology Senior

A day at Gray and Becker P.C. is very fun, educational, but can also be a little overwhelming and stressful. To start off the day, you must arrive promptly at 7:50 am, no later. This is because several days out of the week attorneys need a ride to the court house at 8:00am and you must be there to take them. After you take the attorney you go through opening duties which consist of turning on all lights, making coffee, refilling all the printers with copy paper and taking the phone off automatic voicemail. After that, you proceed to your office where you immediately check your email and complete any tasks that are given to you. These can be pulling files from the basement, ordering boxes back from our storage facility or pulling documents to be prepared for clients to come in and sign. Once that is complete, you begin closing files. This means you are logging file information into the electronic spreadsheet, labeling each file with a closing number, then putting those files in numerical order down in the basement. After you have caught up with closing files, it is usually time for lunch where you get an hour lunch break. Then at 1:00pm you sit at the front desk for the receptionist who then takes her one hour lunch break. During this hour you are required to answer phones and sort all incoming mail. After lunch, you move on to any projects that you have currently. This can consist of moving all old files out of the basement, destroying all old files in storage unit, working with administrative files, updating current cases or any other file related task your superior gives you. This will typically take up the rest of your day, but if not, there is usually a stack of loose documents that need to be filed back into the respectable case number. Last, around 5:00- 5:15 you take the mail and proceed with the office closing duties such as, cleaning the kitchen, moving the van, starting dishwashers. Once that is all complete it should be around 5:25-5:30 where you once again sit at the receptionist stand and answer phone calls until 6:00pm when it is time to turn off the lights, lock the door and head home. It may sound like a lot, but once you get the hang of how the process works everything is very easy. Everyone here is enjoyable to work with making your day fun and filled with new learning experiences.
