Production workflow and cost analysis

The total cost of implementing any production strategy includes capital and personnel time expenditures.

Capital expenditures:

  • AV equipment to record/encode events
  • AV hardware and software for producing media products
  • Server(s) for distributing media products
  • Media backup and archiving technologies

Personnel time expenditure is broken down into tasks and where they occur in the production timeline:

Initial
  • Gather requirements and establish budget boundaries
  • Collaborate/design overall system
  • Source and purchase systems components
  • Install/integrate and troubleshoot system components

Pre-event (event-specific)

  • Plan and coordinate recording/encoding events

Event (event-specific)

  • Record/encode events

Post-event (event-specific)

  • Produce media products
  • Archive projects
  • Administer servers and coordinate distributing media products

Ongoing

  • Collect feedback, test, and integrate tools and processes to increase efficiency and/or quality; troubleshoot and upgrade components of production systems

In order to estimate costs for webcasting and video production, CIT developed a production specification worksheet using Excel. This tool allows a developer to select from a list of goals, tasks, equipment, conditions, and workflows for a video production, from pre-event, to event, to post-event. The tool then calculates total hours required to complete tasks and meet goals. Download CIT's video production specification tool (Excel doc)
