Position Management Update

  • All employees who currently have an appointment in *DEFINE will be assigned to a position in the Position Management System.
  • Event workers (flat rate workers) will not be included in the first release of the Position Management System.

  • One Position <----> Multiple Incumbents
    • Option for hourly Student employees
    • Must all share one student title and be paid from the same account number

Jim McElroy - Long Term Care Premium Holiday and Volunteering/Assisting at University Events

Long Term Care Premium Holiday

  • Applies to employees, retirees and their spouses who are current participants
  • Monthly premium due for July and August will be waived
  • Communication will be sent directly to participants

Assisting at University Events

  • What is a University Event?
    • University event: an event that is occasional, periodic, or unique and sponsored by the Office of
    • Relationship Management and University Events or approved by the employee’s dean or vice president. 
    • Examples: Commencement, Explore UT, Honors Day, MLK statue ceremony, Longhorn Halloween, Moove-In
       
  • Vice presidents and deans are encouraged to promote employee participation at university events as long as it does not adversely affect the work of the department or incur additional costs that might exceed budget constraints.
  • Employees are required to obtain prior approval to work at university events.

  • Time keeping: all employees who assist at university events record their time as work time on their timesheets.
  • Overtime and state compensatory time:
    • all time spent assisting at university events will count toward overtime and state compensatory time. 
    • Regular rules for the administration of overtime and state compensatory time will apply.
      Supervisors may adjust work schedules during the event week so that total hours worked do not exceed 40.
  • Full-time non-exempt employee
    • Work hours exceed 40 for the week
    • Receive one form of overtime listed below
    • Time off at a rate of one and one-half hours (1½) off for each hour over 40 or
    • Pay at the rate of one and one-half (1½) times the regular hourly rate for each hour over 40.
       
  • Non-exempt employee appointed fewer than 40 hours per week
    • Work hours exceed appointed hours for the week
    • Paid regular hourly wage for each hour over the appointed hours up through 40 hours and
    • For hours over 40, pay at a rate of one and one-half (1½) times the regular hourly wage.
       
  • Exempt employees (full- and part-time)
    • Work hours exceed appointed hours for the week
    • Accrue state compensatory time at the rate of one hour for each hour over the appointed hours

  • Contact Kay Novello (232-7842) to get authorized.
  • Then go to https://utdirect.utexas.edu/cts/profile.WBX and select Departmental Compliance Reports.
  • To run a compliance report for all modules, put in your unit code under Unit Codes to Check:
  • This report will show training needed for both part-time and full- time employees.

Changes in the Profile and the Departmental Report

  • The 500 series of courses are (or will shortly be) on your Profile under “Modules Needed” and they will also be on the departmental report if you are required to take one or two.
  • CW170 will be on your Profile under “Modules Needed” and on the department report only if you have an email address listed on the UT Directory.
