Compensation Guidelines for Employees Who Assist at University Events

Definitions

University event: an event that is occasional, periodic or unique and sponsored by the Office of Relationship Management and University Events or approved by the employee's dean or vice president.  Examples include Commencement, Explore UT, Honors Day, MLK statue ceremony, Longhorn Halloween and Moove-In.

Assist: with prior approval, performs a service freely, without pressure, coercion or assignment during or outside of scheduled work hours.

Guidelines

Vice presidents and deans are encouraged to promote employee participation at university events as long as it does not adversely affect the work of the department or incur additional costs that might exceed budget constraints.  Employees are required to obtain prior approval to work at university events.

  • Overtime and state compensatory time: all time spent assisting at university events will count toward overtime and state compensatory time.  Regular rules for the administration of overtime and state compensatory time will apply.
