What do I do the first day my temporary arrives to work?
When the temporary reports to work, please remember the following:
- Provide detailed job instructions.
- Establish a work schedule with the UTemp employee at the beginning of the assignment.
- The UTemp employee should be supervised at all times.
- Please return performance evaluation forms to UTemps office within one week of assignment expiration.
- When the services of the temporary are no longer needed, for any reason, please notify the UTemps office.
- If the assignment needs to be extended, please notify the UTemps office.
- The length of the assignment can not be for more than four and a half months. If your needs dictate a longer assignment, please contact the UTemps office for options.
- UTemp employees are responsible for submitting timesheets to the UTemps office the next work day following the end of each pay period (twice a month). Please be sure to review and sign the timesheet. Be sure to keep a copy for your records and advise your UTemp to also keep a copy for their records.

If I want to hire the UTemp, do I have to give a break in service?
Yes, if you would like for the UTemp to startcontinuous service from the hire date as your regular employee. The six month probation period would begin from this date.
No, if you would like for the UTemp to start continuous service from the time the UTemp started working for you. The six month probation period would begin from the date the employee started as a temporary employee. Note: this has implications for benefits eligibility.

My department is recruiting for permanent position "UT Wide." Is my UTemp eligible to apply?
No. This is because only employees at UT that are benefits eligible may apply. UTemps employees do not meet this definition.

What if I'm unavailable/out of the office and the UTemp's time sheet needs to be signed?
Designate a back-up person to sign the time sheet and inform your UTemp who the back-up person is on their first day at work.

If the UTemp assigned to me doesn't "work out," do I have to keep the UTemp for the period of time I requested?
No. We recommend that you contact UTemps for any concerns that you might have in regards to your UTemp.

Do I have to have "Prior Written Permission" to have my UTemp work more than 40 hours (overtime) a week (Monday through Sunday)?
No, but we highly recommend that there is at least a verbal approval from the supervisor to your UTemp. Any written approval that is needed within your own department should be taken care of. UTemps does not need a copy of this correspondence.

If I have a need to have my UTemp work beyond the normal works hours initially requested or for any hours on a Saturday or Sunday, is the UTemp required to comply?
No.The UTemp may decline to work any hours beyond the previously agreed upon temp assignment.For example, if you requested for a UTemp to work from 8 a.m. to 5 p.m. and you now want to change the hours to 8 a.m. to 6 p.m., the UTemp may agree to the newly proposed work hours or decline your offer. If you have any concerns, contact the UTemps office.

I wish to increase the "duties and responsibilities" of my UTemp and by doing so increase the hourly rate of pay for my UTemp. Is that allowed?
Yes. Of course, both of you should agree on the change in job description duties and new pay rate and then contact the UTemps office and provide the required information.

Does my UTemp have to provide me with a “two week notice” prior to ending their UTemps assignment with me?
No. We only instruct our UTemps to provide at least a two day work notice to both their on site supervisor and our office prior to ending their UTemp assignment. If your department needs a replacement due to the unavailability of a UTemp to complete their assignment, please contact our office immediately.

My UTemp is currently working half time and now I have a need to increase the work hours.Can I do so?
Yes, as long as you and your UTemp agree. Our office should be notified of the change so that the appointment may be adjusted.

I now have a need for my UTemp to drive a UT vehicle as part of their duties. Can I allow them to do so?
Yes, but you need to contact our office FIRST. DO NOT allow your UTemp to drive a university vehicle until you contact our office for instructions. The required process involved to gain this privilege may take a day or two.

Once a week, I have to have my UTemp go some distance to pick up mail, etc. Can the UTemp drive their personal vehicle to do so?
Yes, but the UTemp should be informed that if they are involved in any accident during that time, they will not be compensated. Use of their own vehicle is at their own risk. The UTemp may also decide to walk or use the UT shuttle instead of using their personal vehicle.

I am requesting a UTemp but I want to ensure that a previously assigned UTemp is not given to me again.Can I make such a request?
Yes. We highly recommend that you keep a list of previous UTemps that you no longer wish to be assigned to you for future requests. We also recommend that you keep a list of previous UTemps that (if available) you would like to fill your request. Please be sure and provide feedback to UTemps as to why you do not want a particular employee for an assignment. This will help us with our evaluation and quality control process.

What if I want my UTemp to work on a recognized holiday? Can I request that they do so?
Yes, as long as you both agree. In such an instance, a UTemp would be paid straight time (no additional pay) unless it involves overtime.

19.
Now and then my UTemp asks for time off to go on job interviews or to go to a medical appointment. Is this ok?
Yes. Like a permanent employee, they should notify you in advance (except for emergencies) for time off. Of course, in their case, time off is without pay. With your consent, your UTemp may make up any work hours that they missed.

Parking - Does UTemps provide a parking permit for my UTemp?
Each time a UTemp is matched up to a UTemp assignment, they are asked if they need to purchase an “A” parking permit. If they choose to purchase one, they are instructed to go to the P&T to purchase their permit. Prior to their visit to the P&T our office will fax an authorization letter to P&T confirming the request for a permit. This permit is available for a month or more.

If our department uses UTemps to fill a staffing need, is there a service charge?
Yes. The cost would be determined by the hourly rate of pay the department will be paying the UTemp. What this cost will be to your department can be obtained from the UTemps Coordinator working on your request.
