Appointment Reason Codes

When creating appointments, completing automated reappointments, or ending appointments, refer to the following reason-code tables that explain the different types of new document codes, change document codes, separation codes, and special increase codes.

New Document Codes

Code Description
* Any new appointment with no prior service, or Classified or A&P employee with one month or greater break in service, or Student or academic employee with a 4 1/2 month or greater break in service.
A Classified or A&P employee with less than one month break in service with any changes, or Student or academic employee with less than 4 1/2 months break in service with any changes, or any employee with continuing appointment (no break) but with different job code, department, % time, or pay rate.
B Classified or A&P employee with continuing appointment (no break) to same job code, department, % time, and pay rate, or Student or academic employee with less than 4 1/2 months break in service to same department, job code, % time, or pay rate.
C Reappointment with standard increase (e.g., increase to new minimum).
D Employee given an additional appointment that is concurrent with another appointment.
$ Faculty who will have summer research appointment and receive their 9 month academic rate plus the supplement rolled into one rate for the summer. These appointments should be to Research titles (not academic) and on a 12-month basis.

Change Document Codes

Code Description
E Promotion within department
F Promotion to a different department
G Reclassification (document ID should be in Remarks section)
H Change appointment - account number only.
J To place employee on LWOP for remainder of appointment (can also be used on a new appointment document) Enter "L/A" for leave of absence and indicate the type of leave. See Leave Codes.
K To return employee from LWOP for remainder of appointment.
M Other - corrections, increase/decrease hours, military leave with pay, account number changes in conjunction with other changes, etc. Details should be in the Remarks Section.
U Demotion.
V Transfer to a different department at same title
W Transfer within same department at the same rate

Separation Codes

Code Description
N Cancel appointment (no expenditure) - must enter 0000 for proposed end date
R Resignation/end of appointment
S Dismissal - Temporary
O Retirement
P Dismissal - Probationary
Q Death
T Layoff
Y Dismissal - Academic
Z Dismissal - all other
& End of student assignment

Special Increase Codes

Code Description
1 Merit increase up to 3%: Classified, Faculty, A&P
2 Merit increase over 3% up to 5%: Classified, Faculty, A&P
3 Merit increase over 5% but under 8%: Classified, Faculty, A&P
4 Merit increase 8% or more: Classified, Faculty, A&P
5 Trainee Increase: Classified
6 Shift Differential: Classified
7 Additional Duties/Responsibilities Increase: Classified, A&P
8 Increase to offset outside job offer: Classified, Faculty, A&P
9 Equity Adjustment: Classified, Faculty, A&P, Student
0 Student reappointment with salary increase
