Faculty and Staff Contacts Program—Joel Driver, Career Counselor
What is the Faculty and Staff Contacts Program?
- Database of faculty and staff profiles
How does it work?
- Students search the database and find someone working in their field or major of interest
- Students contact faculty or staff member to request an information interview
- Students meet up with faculty or staff member to talk and learn more about their career
What is the expectation?
- Can be as much or as little as you want
- The expectation is 15-30 minutes to do an interview with a student
- One time event or potential mentoring opportunity
Why should staff join?
- Many staff members on campus do not get contact with students
- Students can learn so much from what you have to offer in experience
- Who better for students to connect with in their field of interest than UT Austin professionals
Get Involved!
- Fill out and submit the Staff Profile form (EID required).
- By adding your profile to the database, you will let students know that you are willing to be a resource to them on their career journey.

Change in Review Process: Outside Employment & Telecommuting Agreements—Luther Johnson, Assistant Director, Employee & Management Services
Agreements not requiring HRS review
- Those previously approved by HRS during the last fiscal year, and
- Those with no substantial changes in the employee’s postion and duties at the university, such as a
- Change in employer,
- Change in employee status from part-time to full-time, or
- Change in responsibilities involving face-to-face contact with customers and clients.
Outside employment & Telecommuting agreements
- Still necessary for employees to receive supervisory approval for all new and continuing agreements
- Supervisors should maintain a copy of their approval for future reference
- HRS review and approval required for all new Outside Employment or Telecommuting requests

A quick way to recognize the out-dated I-9 version is to look at the citizenship options in Section 1 of the form. The newer versions have four citizenship boxes, where the old version only had three.

Documents requiring UBC Review
- Dean/VP offices will need to approve and route forward any transactions that contain an employee increase by Friday, October 2nd . These transactions include:
- HRMS reclassifications
- Recruiting summaries--with internal hire
- Salary adjustment forms
- SCMS will review, and if we support approval of the transaction, prepare a recommendation for the UBC by Friday, October 9th.
- UBC review period will take place through Friday, October 16th.
- SCMS will return any documents that could not be approved to departments by Tuesday, October 20th.
HRMS Phase Two Critical Dates
- Tuesday, Oct. 20
- Recruiting Summary and Reclassification documents need SCMS final approval by midnight
- Wednesday, Oct 21
- Appointments close at the end of the day
- All appointment documents must be routed to HRS
- Friday, Oct 23
- HRMS closes at the end of the day
- All documents will be returned to the document creator EXCEPT for Modify and Reclassify documents, which will be deleted
- HRMS closes at the end of the day
- Monday, Nov 2
- HRMS reopens
- All previous HRMS functionality restore

Special Consideration Hiring
- Supervisors make employees aware of the Special Consideration Program
- Employee contacts SCMS and elects to participate in Special Consideration Program
- When a special consideration participant applies for a job at UT, SCMS notifies hiring manager
- Hiring managers give preference to the special consideration applicant in accordance with HOP 9.48
- When hiring the special consideration applicant, justification of the hiring decision (in the JZ8) is established by this action
