2010-2011 Holiday Schedule—Lisa Milne, Assistant Director, Employee & Management Services

Holiday Schedule

  • For the 2010-2011 Fiscal Year, the university has 12 holidays available;  five holidays fall on weekends and, as such, are not observed.
  • We are closed on the following days:
    • Labor Day, September 6, 2010
    • Thanksgiving Day, November 25, 2010
    • The day after Thanksgiving, November 26, 2010
    • The 24th of December 2010
    • Martin Luther King, Jr. Day, January 17, 2011
    • Memorial Day, May 30, 2011
    • Independence Day, July 4, 2011
  • The additional five (skeleton crew) holidays would be used in the following manner: the holiday break would begin on Friday, December 24, 2010, and continue through Friday, December 31, 2010.

CPR/AED Training—Adrienne Howarth-Moore, Director, HealthPoint, Occupational Health Program

Faculty & Staff CPR/AED Training

  • UT Austin has a public access Automated External Defibrillator (AED) program.  Find the AED nearest on the AEDS Web page.  Then, take training to learn how to use them.
    • Training includes infant, child, and adult  Cardiopulmonary Resuscitation (CPR), choking, rescue breathing, use of barrier devices along with AED instruction.
    • Upon receipt of payment, participants will receive a certification card that is valid for 2 years.
    • Cost: $30 payable by check or IDT account; each participant must submit form [pdf] with payment
    • Length: 2 hours
    • Dates:
      • Friday, June 18, 8:30-10:30 a.m.
      • Thursday, September 16,  2:30-4:30 p.m.
    • Location: NOA 4.106A
    • Participants must enroll via TXClass, PN 900 CPR/AED Certification Training

HRMS Salary Update Document (SUD)—Jessica Chamberlain, Acting HR Manager, Staffing and Career Management Services

Salary Update Document (SUD)

  • HRMS project team will soon launch the Salary Update Document (SUD)
  • SUD allows multiple salary updates within a single document, rather than using multiple modify documents.
  • SUD updates must take effect on 9/1.  Any other effective date should be handled via a modify document.
  • SUD documents are only available during a specified window (currently TBD).

Prior Approval Table

  • For the purposes of the SUD:
    • A&P/Librarians and Classified require prior HR approval for:
      • New permanent additional duties
      • Equity
      • Counter Offer
      • Trainee Increase
    • Departments should submit a Salary Adjustment Form Salary Adjustment Form [Word doc]
    • Merit increases do not require prior approval by HR

OV2 Changes

  • Background
    • HR conducted a survey on the use of “on call” pay
    • Results showed that:
      • “On call” pay is a beneficial compensation strategy
      • It would be beneficial to track shift differential payments across campus to ensure consistent reporting in shift differential
  • Recommendations included:
    • Documenting departmental “on call” programs to ensure:
      • Compliance with university policy
      • Consistency in administration
      • Justification of rates
        * SCMS is currently working with Dean/VP contacts to collect this information
    • Establishing specific earning codes/strategies to allow periodic review of payment
  • SCMS & Payroll have worked to change the current:
    • OV2 Voucher Request form
    • OV2 Payment Document
  • Changes are anticipated to occur in June
    • Notification will be sent when exact date has been determined
  • OV2 Voucher Request Form
    • SCMS will update the form to distinguish between three payment types:
      • Lump Sum/Flat Rate
      • On Call
      • Shift Differential
    • Revised form will feature distinct sections for each payment type and will closely mirror fields used in the OV2 payment document.
  • OV2 Payment Document Changes
    • Payroll will update the OV2 document in *DEFINE to capture use of each payment type:
      • LS = Lump Sum/Flat Rate
      • OC = On Call
      • SD = Shift Differential

    • Depending on the Payment Type selected on the OV2 coversheet, the worksheet of the OV2 document displays the appropriate fields to enter:
      • Lump Sum/Flat Rate (LS)
        • Enter total amount of the payment
      • On Call (OC) and Shift Differential (SD)
        • Enter hours and hourly rate.  Total Payment will calculate.

Annual Enrollment

    • UT Select health plan premium and plan design changes
    • UT Select Dental premium: expected increase of 3%
    • Life Insurance and Accidental Death & Dismemberment: expected premium decrease of 11.2%
    • Must re-elect UT Flex accounts every year
    • Flex card needs to be elected only if you did not have it previously
    • Administrative fee of $12 per year per account
    • Make selections early in July!
    • Confirmation e-mails are sent the day after a successful change is made – review carefully!
    • Confirmation e-mail is sent if no changes are made
      • You can always review the Benefits Summary page in My UT Benefits (MY UTB)
    • Monthly UT System OEB Newsletter; first Wednesday of every month
    • Middle of June – e-mail with a link to printable table of events and information; no postcard
    • Reminder e-mails throughout July
    • Your UT Benefits Enrollment Options notice sent July 1 by e-mail
    • Annual Enrollment Web site available by July 1
    • Benefits Fairs provide an opportunity to speak directly to the insurance providers and to attend presentations by each provider

    • Additional presentations throughout July in NOA –dates on Annual Enrollment Web site and e-mails
    • Insurance provider presentations available on the OEB Web site
    • Insurance does not continue automatically upon retirement
    • Eligible employee has 31 days to submit forms
    • Retiring From UT Austin presentations
      • 2nd Wednesday of each month, 3-5 p.m., NOA 4th floor
