Employee Leave Benefits Overview

Employees working at least 20 hours a week continuously for 4 and 1/2 months or more are eligible to receive paid leave time.

Holidays and Vacation (Annual Leave)

The Holiday and Vacation Schedule is published at the beginning of each fiscal year and can vary each year. If work schedules or department duties require employees to work on holidays, time off will be granted on another date within 12 months.

Vacation accruals begin the first day of regular employment and can be used after completing six (6) continuous months of state service (180 calendar days). Full-time employees accrue vacation time based on total months of state service. The monthly vacation accrual amount increases with longevity. A set number of unused vacation can be carried forward from one fiscal year to the next (see the Holiday and Vacation Schedule for maximum carry-over amounts). Hours of vacation leave accrued that are in excess of the maximum hours allowed for carry-over will be transferred to sick leave at the end of each fiscal year.

Regular employees working 20 hours or more per week but less than 40 hours will accrue vacation leave on a proportionate basis, and the maximum carry-over will also be proportionate.

Upon termination or separation from the University, an employee who has completed 6 months of continuous service is entitled to a lump-sum payment for all accrued, unused vacation time up to the maximum carry-over amount.

Sick Leave

Sick leave protects employees' earnings if they are unable to work because of personal illness or to care for an immediate family member. Sick leave accumulates at the rate of 8 hours per month of service for full-time employees (proportionate amounts are accrued for employees working 20 hours per week or more, but less than 40 hours). The amount of sick leave that can be carried over from year to year is unlimited. There is no payment for unused sick leave at termination.

Family Medical Leave Act

UT employees may take up to 12 weeks paid and/or unpaid leave under certain qualifying conditions in accordance with the Family and Medical Leave Act of 1993 (FMLA). Eligible employees are entitled to a total of 12 work weeks of leave time during any 12-month period for any of the following qualifying reasons: birth or adoption of a child; placement of a foster child; or a serious health condition of an employee or an employee's dependent, defined as a child, spouse, or parent (excluding parent-in-law). For more information, employees should discuss their FMLA options with their department's human resource representative, or contact the Leave Management section of Human Resource Services.

Sick Leave Pool

Sick Leave Pool protects employees' earnings if they are unable to work because of catastrophic illness or injury, or to care to an immediate family member who has a catastrophic illness or injury. Employees much exhaust all leave time before being awarded sick leave pool. Applications for withdrawal from the sick leave pool require proper medical documentation and approval by the Director of Human Resources. The policy also allows employees to contribute unlimited days of sick leave per fiscal year to the sick leave pool.

Emergency Leave (Funeral Leave)

An employee working at least 20 hours a week continuously for 4 and 1/2 months or more is eligible to receive full pay for up to 3 days when there is a death in the employee's immediate family.

Jury Duty

Employees will receive full pay when on jury duty or subpoenaed witness duty. Proper documentation will need to be provided to your department.

Military Leave

Employees will receive full pay for a maximum of 15 work days in any federal fiscal year for duty in the National Guard or Armed Forces Reserves. A copy of the orders must be provided.
