Updating Your Calendar
How should I update my calendar?
You can update your calendar appointments manually, by deleting and recreating them. Or, if you use Microsoft Outlook, you may consider using the Outlook Update Tool. However, the complex nature and interactivity of calendars means that, even with the most careful updating, you may still encounter scheduling problems.
Updating Appointments Manually
Manually updating appointments that you organize and own may be the best way for some people to ensure that their calendars are correct. To manually update your appointments:
- First, make sure that your computer has been updated for DST. If you update appointments before your computer is updated, your appointments will be at the wrong times after the update.
- Delete your appointment from your calendar. DO NOT move your appointments, since this may cause further scheduling problems.
- Reschedule your appointments at the correct time. Be sure to include the actual date and time of the appointment in the appointment subject or body of the appointment message. This will help prevent confusion and missed meetings.
Please note that manually updating appointments only works for appointments that you own, and any meeting invitees will receive new e-mail invitations to the updated appointment. Any appointments owned by other people should be viewed with suspicion, as it is impossible to tell whether the appointment has been updated for DST. You may want to consider putting "Updated for DST" in the message of your appointment invitations.
Updating Microsoft Outlook Appointments Using the Microsoft Outlook Update Tool
If you have NOT manually updated any meetings during the DST period, using the Microsoft Outlook Update tool may be the best way to update your calendar. However, you should be aware that running the Outlook Update Tool will:
- Update ONLY the appointments that YOU organize or own (appointments organized by others may still be off)
- Re-update appointments that have been manually updated (removes adjustments you made)
- Send all meeting attendees updated invitations (possibly hundreds or thousands of e-mails)
- Send updated meeting invitations for meetings that occurred in 2006 (these should NOT be accepted).
In addition, once you run the Outlook Update Tool, you CANNOT undo it.
NOTE: We STRONGLY recommend that you check with your Technical Support Contact (TSC) or System Administrator to find out if they are planning to use, or have already applied, the Outlook Update Tool to your calendar.
To use the Outlook Update Tool to update appointments you own:
- Make sure that your computer has been updated for DST. If you use the Outlook Update Tool before your computer is updated, your appointments will be update to an incorrect time.
- Discuss whether you should use the Outlook Update Tool with your TSC or System Administrator. The tool may cause more problems than it solves, especially if you have manually updated any appointments.
- Download and run the Time Zone Data Update Tool for Microsoft Office Outlook (the tool works for Outlook 2000, 2002, 2003, and 2007).
Updating Appointments for Outlook Express, Entourage 2004, and Meeting Maker
Outlook Express users should:
- Install the appropriate operating system updates. These will ensure that Outlook Express keeps the correct time when DST occurs.
Microsoft Entourage 2004 for Mac users should:
- Make sure your computer's operating system has been updated.
- Install the Microsoft Office 2004 for Mac 11.4.0 update.
Meeting Maker users should:
- Make sure your computer's operating system has been updated.
- Upgrade to Meeting Maker version 8.6.
