Requesting Authorization for Group E-mail
How do I access the Group E-mail application?
Group E-mail can be accessed through the University Group E-Mail System application in UT Direct.
What types of messages are appropriate?
Users considering sending a message via the Group E-Mail System should consider the following four questions:
- Does the message further the business of the university?
- Does the e-mail content impact a significant percentage of the recipients of the list?
- Are message recipients likely to be interested in the subject or need to know the subject information?
- Does the message meet any additional criteria communicated by the Group Contact?
In addition, messages must fit in to one of the following categories:
- Informational Any communication that increases the awareness of campus activities, events, or services. For example, parking disruptions.
Note: University employees and students may unsubscribe from receiving "Informational" messages via Official E-mail Options. - Operational Communication that requires some action on the recipient’s part or a required notification by the University. For example, a message about benefits eligible information.
- Official A non-urgent communication from an executive officer. For example, a message from President Powers.
- Urgent An urgent announcement from an executive officer regarding an imminent event. For example, a message about the school closing.
Who is authorized to send a Group E-mail message?
Any member of the UT community who possesses a High Assurance EID may request authorization from a Group List administrator to send appropriate messages to targeted groups.
How long do authorizations last?
Authorizations expire at the end of the following workday. Longer authorizations may be granted at the discretion of the Group Contact.
Can I create a custom list of recipients?
You may create a customized list of addresses. To use the Custom List feature, the user must provide a mainframe dataset containing the data required by the system. To learn more about the requirements for custom lists, contact the Group E-Mail Team for more information about adding a group.
