ID Center

New Users

The following individuals are eligible to receive a university photo ID card:

Note: Students, Official Visitors, and Vendors whose sponsoring department has asked them to request a "proximity" ID card should review the "Proximity Cards" section below.

In order to receive an ID card from the university, you must bring a government-issued photo ID as proof of your identity to the ID Center in the FAC during office hours. The following documents are considered acceptable government-issued photo IDs:

  • Driver's license from the United States or Canada
  • U.S. or foreign passport
  • Alien registration card with photo (INS form I-151 or I-551)
  • U.S. citizen ID card (INS form I-197)
  • Resident citizen card (INS form I-179)

Note: The beginning of the semester is a busy time at the ID Center, so we recommend coming in the early morning hours to get your ID card.

ID Cards for Students

Any student who has been officially admitted to the university may obtain an ID card. ID cards are required when students arrive on campus. A fee will be charged for each ID card. Payments can be made at the UT Cashier's Office, Main building room 8, or online under What I Owe, and must be made within 30 days.

ID Cards for Faculty and Staff

Faculty and staff members (appointed at least half time for 4 1/2 months) must carry employee ID cards. Check with your hiring department before you come to the ID Center to make sure you are eligible to get an ID card.

Your first ID card is provided free of charge. However, if the card is lost, damaged due to abnormal abuse ( including holes punched), or a new photograph is requested, a fee will be charged for the replacement card.

ID Cards for Official Visitors and Vendors

Visitors

Official Visitors are consultants, lecturers, or others with a clearly defined connection with a university agency or program on a short-term basis. Official Visitors must be sponsored by a department of the university who will take responsibility for the visitor’s actions. Official Visitor affiliation is granted with an expiration date, no longer than 12 months from date of issuance. If an Official Visitor becomes an employee, their Official Visitor affiliation is removed.

Official Visitors have privileges similar to faculty, including access to many information technology (IT) services on campus. Official visitors can come to the ID Center to receive a UT ID card and an electronic ID with the official visitor designation.

Vendors

Vendors must be sponsored by a UT department or agency who will take responsibility for the Vendor’s actions. Vendor affiliations are granted with an expiration date, no longer than 12 months from date of issuance.

Vendors can come to the ID Center to receive a UT ID card and an electronic ID with the vendor designation.

Requirements

To allow the ID Center to process these requests, the sponsoring department must provide a letter on departmental letterhead. The letter should include:

  • The visitor’s or vendor's name
  • The visitor's or vendor's UT EID.
    Note: If you need to find or create a UT EID, go to the UT EID Self-Service Tools site and select the appropriate option.
  • The reason for needing a UT ID card OR a UT ID card with a proximity element
  • An expiration date
  • The need for an EID password that will allow access to certain IT services, such as wireless bandwidth
  • An account number to cover the ID card fee of $10 (Or provide a check at the time of issuance)

The ID Center will keep a copy of the letter on file.

Proximity Cards

Description

Proximity cards have a built-in reader element that is used with the Building Access Control System (BACS). This element enables the card to be used to access buildings protected by this system. Faculty and Staff who have an old (issued before September 2004) ID card that does not contain a reader element can bring their old card to the ID Center and exchange it for a new proximity ID card if needed. There is no cost for this exchange unless the old ID card is lost. For more information on proximity ID cards and the Building Access Control System, please see the Campus Security Systems Web site.

Note: Do not punch holes in or bend your proximity ID card. This will break the reader element data communication wire and destroy the security access capability. There will be a charge of $10 for replacement of any damaged proximity ID cards.

Eligibility

Visiting Scholars and Vendors must specifically request a proximity card if one is needed and provide a letter on departmental letterhead from their sponsoring department. A $10 charge will apply.
