Adding the UT Directory to Your Outlook Address Book (Windows)

Note: If you are using this procedure to connect to an LDAP server other than The University of Texas at Austin online directory, you will need to substitute the server name that your System Administrator gave you for "directory.utexas.edu" whenever that appears.

  1. Open Microsoft Outlook 2003.
  2. From the Tools menu, select E-Mail Accounts.
  3. Under the Directory topic, select Add a new directory or address book and click Next.
  4. For Directory or Address Book Type, select Internet Directory Service (LDAP) and click Next.
  5. In the Server Name field, enter "directory.utexas.edu" (or the name of your LDAP server, if different).
  6. Select the More Settings button.
  7. You will see a message saying that you will need to restart Outlook at the end up of this setup procedure to activate your new address book. Select OK to continue.
  8. On the Connection tab, be sure that "directory.utexas.edu" appears in the Display Name field. Leave the port number as it is.
  9. Select the Search tab. In the Search base field, enter "dc=directory,dc=utexas,dc=edu" and then click OK.

    NOTE:
    If you are connecting to an LDAP server other than the UT Directory, this line may be different. Check with your System Administrator.
     
  10. Select Next.
  11. At this point, one of two things can happen depending on whether or not you have set up any address books previously.
    • If you see a screen saying "Congratulations," select Finish.
    • If you see a screen offering to let you choose a directory or address book, select Finish. You should then see the "Congratulations" screen. Select Finish.
  12. Exit Outlook, then restart it.
  13. From the Tools menu, select Address Book.
  14. From the address book Tools menu, select Options.
  15. In the Show this address list first drop-down list, select directory.utexas.edu.
  16. Select OK.

Searching for Contacts Using the UT Directory

Now when you send a message, you can search for contacts using the UT Directory.

Note: For privacy reasons, you will not see a list of names when you select Address Book and then directory.utexas.edu.

  1. From the menu bar in the Address Book window, select the Find Items button.
  2. In the appropriate fields, enter information you know about the person you are trying to contact (name, address, phone number, etc.), then select OK.

A list of possible contacts will be displayed. When you select a contact, that person will be added to your local list. Your local list will appear in your Address Book in the future, alphabetized by first name.
