Archiving Messages to Reduce Mailbox Size (Mac)

Messages stored on your computer’s hard drive do not count toward your total mailbox size. Storing your messages locally is called archiving and it is a great way to reduce your mailbox size on the server.

Note: Archived messages are not available when using Outlook Web Access (OWA) or a computer other than the one where the messages have been saved.

You can export your entire mailbox, or individual folders, to your local machine and remove them from the server:

  1. From the File menu, select Export.
  2. Select the items that you would like to export to an Entourage archive, then move to the next screen.

    Warning: Be careful that you select the specific items you want to archive.

  3. Select the Yes, delete items from Entourage after they are archived option, then continue to the next screen.
  4. Choose a file name and the directory where you would like your archives to be stored, then click the Save button. It may take a few minutes to archive your folders, depending on their size.
