Congratulations to all December graduates ready to leave the university and begin a new phase of life. Information Technology Services (ITS) wants to help you during this transition by making sure you have the facts you need about what happens to your ITS accounts after graduation.
How long is my university e-mail account still active after I graduate?
Your e-mail account will expire six months after graduation. You will receive automatic notices during this time reminding you that your account will be closed. During this period, ITS recommends:
- establishing a new e-mail address with a commercial provider, such as Yahoo or Gmail
- notifying your contacts of your new e-mail address
- forwarding your university e-mail account to your new address
You also have another alternative. Now that you are about to be an alumnus of the university, you can join the Texas Exes organization. One of the benefits of membership is a lifetime “@alumni.utexas.net” e-mail address that will redirect messages to the e-mail address of your choice. Your friends, family, and contacts will always be able to contact you if you decide to take advantage of this alumnus offer. Other benefits include discounts on computer workshops taught at the Thompson Conference Center, career networking, and continued use of the university libraries.
Do I need to close out any IT accounts? If so, how?
This is an important question. If you are graduating or permanently leaving the university, you must close your ITS accounts. Until you do, you are responsible for all account charges, whether you are using the account or not. You can cancel services or close your account by accessing the ITS Computer Account Services Web page. Log in with your UT EID and password to cancel all of the services you currently receive, such as Unix Timesharing, AEMS, or Resnet services. You will be reimbursed any monies owed to you from “unsubscribing” to a service. Unused Bevo Bucks will also be refunded to you.
If you do owe the university any uncollected fees, however, money from either your computer accounts or Bevo Bucks will be applied to those unpaid fees. Until any outstanding charges are paid, you will not receive your diploma or be able to attain a copy of your transcript. To find out if you owe any uncollected fees, access the “What I Owe” page. What else is deactivated when I graduate?
- Your university ID card: You will no longer be able to use it for campus or city services, such as the library or city buses. (However, Texas residents may use the university libraries for a small annual fee.)
- Your WebSpace account: This account will expire on the 12th class day of the semester following your graduation. Make sure you have retrieved any stored files by this date. As a precaution, ITS strongly encourages keeping separate backups and copies of the files stored on WebSpace. If you fail to retrieve these files before the account is deactivated, the ITS Help Desk may be able to assist you in recovering files for a brief window of time.
- Access to BevoWare: You will no longer be able to use the licenses available in BevoWare. You will need to make new arrangements to secure your computer and files with anti-virus and Internet security solutions.
- Campus Computer Store Discount: However, you can still purchase software from the store for up to six months after graduation.
- Use of a number of IT services, including:
- Blackboard
- Student computer labs, like the SMF or the MCF
- Public Network Access (PNA) Internet bandwidth
What isn’t deactivated when I graduate?
Your UT EID and password remain active after graduation. You will need to use your EID and password to order copies of your transcript, apply for a job at the university, or update your contact information with the registrar’s office.
How does my graduation affect my Facebook account?
Being part of a college network on Facebook requires a valid school e-mail account. Your ability to use Facebook to network with other university students will expire, along with your university e-mail, six months after graduation. Since college alumni e-mail accounts work, you can use the the alumni e-mail address available from Texas Exes if you want to continue networking with your university friends.
What about my Microsoft software?
If you are using Microsoft software obtained through the Microsoft Campus Agreement, your current software license converts to a perpetual license when you graduate. In essence, this means you will own the software that you are currently leasing. ITS Software Distribution & Sales will send you an e-mail before you graduate with instructions on how to obtain a Student License Confirmation, your proof of ownership for this software.
