News on Microsoft Licensing and Maintenance Options

FY 2007-2008 MSCA Add-on Status Information: Deadline to submit Purchase Order to DELL is December 21, 2007.

The following is information about options departments have for Microsoft licenses over and above the ones provided by the UT System Microsoft Campus Agreement (MSCA). The MSCA takes care of Office Pro, Windows OS upgrades for desktop, Visual Studio Pro, Core Cal, Publisher, and Front Page.

Here are several ways you can acquire, upgrade or keep current additional Microsoft products. An * denotes a limited-time offer!

  1. Select License and optional Software Assurance (SA)
  2. MSDN Academic Alliance (AA) for academic departments only
  3. Campus Agreement add-on for server products*
  4. Campus Agreement add-on for desktop products*

Important Notes: If you participated in Campus Agreement add-ons (options 3 and 4, below) last November, you MUST purchase the same products again this year, or discontinue their use by December 31, 2007.

Dell must receive all add-on orders, no later than December 21, 2007.

Select License and optional Software Assurance (SA)

You can use UT System's Select 6 Agreement to license, at reduced costs, nearly all of Microsoft's products for servers and the desktop. When purchasing licenses under this program, you have the option of purchasing either a standard, permanent license, or a license plus Software Assurance (SA). Software Assurance can only be purchased with a new license under this program, and cannot be added to existing standard licenses purchased under Select.

Software Assurance includes more benefits than ever before, such as version upgrade rights, online TechNet support, "cold" backup server licensing, and more. Please see Microsoft's site for more information on the benefits of SA.

Software Assurance pricing is 29% of Select pricing per annum for desktop products, and 25% for server products. The coverage period for SA can last up to three years, co-terminating with our Select agreement (currently September 30, 2008). Upon termination of your SA coverage, you will have a permanent license for the then-current version.

MSDN Academic Alliance (AA) for academic departments only

In an effort to promote the use of its tools with young developers, Microsoft provides a subscription service for technical academic departments called MSDN Academic Alliance (MSDN AA). Please see http://www.msdnaa.net/ for details.

Per the terms of this service, "The software must be used for instructional and research purposes; it may not be used to run the infrastructure of the department. In addition, the department's faculty and students may check-out or download the software to install on their personal computers."

As an example, UT Austin's College of Engineering has signed up for this service allowing them to deploy Visio and Project for instructional and research usage. If you qualify for this service, you will purchase the subscription directly from Microsoft by contacting our Microsoft account representative, Fitz McPhaul.

Campus Agreement Add-on for server products (Deadline December 21, 2007)

We are allowed to "add-on" server products onto our Campus Agreement. Each campus is responsible for aggregating orders and funds internally and must submit one add-on order per campus to their Dell sales representative no later than December 21, 2007.

You do not have to have any existing server licenses to purchase item(s) below. These server licenses are annual subscriptions and DO include upgrade rights during the coverage year. These licenses are not permanent; they must be renewed each year or their use must be discontinued. There is no minimum or maximum quantity to purchase.

Purchasing instructions

  • UT Austin customers - The deadline to submit PO to Dell is December 21, 2007.
  • UT System customers - Each UT System component school is responsible for collecting funds and orders for their campus and submitting one purchase order to Dell no later than December 21, 2007. Please submit your Purchase Order to Susan Bocanegra .

Campus Agreement Add-on for desktop products (Deadline December 21, 2007)

Similar to the server products above, desktop products can also be added to our Campus Agreement. Again, each campus is responsible for aggregating orders and funds internally and must submit one add-on order per campus to their Dell sales representative no later than December 21, 2007.

Unlike server products which can be purchased in any quantity, desktop product subscriptions must be purchased for an entire UNIT such as a department, college, administrative unit or an entire campus. In addition to purchasing for an entire Unit, you must also purchase both desktop products. It is priced per Full Time Equivalent (FTE). All desktop product orders must equal one total FTE.

You cover all the FTEs in your unit and you can deploy the product on all the computers that your unit owns or manages (including student labs). Home use rights for employees are included. To allow students to have the product on their own personal computers you must include ALL of the student FTEs that are majoring in your unit (this applies only to academic units).

Calculating Full-Time Equivalents (FTEs)

The FTE count should include Knowledge Workers only; do not count janitorial, groundskeepers or trades/crafts personnel.

When calculating the part time staff portion of your faculty/staff FTE count, include students employed for the primary purpose of assisting in classroom or laboratory instruction or in the conduct of research. These positions are typically held by graduate students having such titles as Teaching Assistant, Teaching Associate, Teaching Fellow, or Research Assistant.

  • Knowledge Worker FTE = FT Staff + FT Faculty + 1/2(PT Staff) + 1/3(PT Faculty)
  • Student FTE = FT Students + 1/3(PT Students)

Where FT = Full-Time and PT = Part-Time

For example, suppose your central IT department manages a central student lab. If you license all of your central IT dept for Project and Visio and you had 100 knowledge worker FTEs then you would pay 100*($4.66+$4.66)= $932. You can then deploy Visio and Project on all your departmental computers and in the central lab for students.

If you do not select the student option, you must include student workers such as TA's in your part time staff counts.
