Problems with Calendar Scheduling Tools

UPDATE: As of Monday, May 5, 2008, service has been restored for ITS rooms and equipment. Other departments that had been using this room reservation system prior to January 25, 2008, will be contacted by an ITS representative to help implement the solution in their environments.


The calendar scheduling tools available through links at http://www.utexas.edu/its/about/rooms/ and many other Web sites around campus are currently not working. While these tools are unavailable, Austin Exchange Messaging Service (AEMS) customers can use one of the following applications to schedule resources:

  • Outlook
  • Entourage
  • Outlook Web Access

Schedule rooms and other resources by adding them directly to the Meeting Request as Resources. For example, complete the following steps to reserve a room in Outlook:

  1. Create a new Meeting Request.
  2. Click the To button in the Meeting Request window. The Select Attendees and Resources dialog box will appear.
  3. Select the room or resource from the list of names.
  4. Click the Resources button.
  5. Click OK.

Some rooms might have administrators managing the reservations. If you’d like to reserve one of these rooms, contact the administrator directly. For example, if you’d like to reserve a lab, contact the lab managers to request the reservation. If you don’t know who the administrator of a room is, please contact the ITS Help Desk for assistance.
