What graduating students need to know about their ITS accounts
Congratulations! You’re ready to graduate. Information Technology Services (ITS) understands that you have a lot to think about right now, whether it’s deciding upon your next apartment or your first steps into the work world. During this transition from the university, we want to make sure you have the facts about what will happen to your ITS accounts.
How long is my university e-mail account still active after I graduate?
A graduating student’s e-mail account will expire six months after graduation. During this time, ITS recommends that you:
- establish a new e-mail address with a commercial provider, such as Hotmail or Gmail
- notify your contacts of your new e-mail address
- forward your university e-mail account to your new address
Better yet, join the Texas Exes organization and receive a lifetime forwarding e-mail address. Show your Longhorn pride with an “@alumni.utexas.net” e-mail address that will redirect messages to your most current e-mail address. Your friends, family, and contacts will always know where to find you, because your Texas Exes e-mail address automatically forwards messages to the current e-mail address of your choice. There are a wealth of other benefits to be had when joining Texas Exes, such as discounts on computer workshops taught at the Thompson Conference Center, career networking, and continued use of the university libraries.
Do I need to close out any IT accounts? If so, how?
This is an important question. If you are graduating or permanently leaving the university, you must close your computer account. Until it is closed, you are responsible for all of your personal account charges, whether you are using the account or not. To cancel services or close your account, use a Web browser to access the ITS Computer Account Services Web page. You will use your UT EID and password to log in. On this page, you may cancel all of the services you currently receive, such as Unix Timesharing, AEMS, or Resnet services. Whatever monies are still owed to you from “unsubscribing” to a service will be reimbursed to you. Unused Bevo Bucks will also be refunded to you. However, if you owe the university any uncollected fees, money from either your computer accounts or Bevo Bucks will be applied to unpaid fees. It’s important to pay any outstanding charges as you will not receive your diploma or be able to attain a copy of your transcript if you owe the university money. What else is deactivated when I graduate?
- Your university ID card: You will no longer be able to use it for campus or city services, such as the library or city buses. (However, Texas residents may use the university libraries for a small annual fee.)
- Your WebSpace account: This account will expire on the 12th class day of the semester following your graduation. Make sure you have retrieved any of your stored files by this date. As a precaution, ITS strongly encourages keeping separate backups and copies of the files stored on WebSpace. If you fail to retrieve these files before the account is deactivated, the ITS Help Desk may be able to assist you in recovering files for a brief window of time.
- BevoWare: You will no longer be able to use the licenses available in BevoWare. You will need to make new arrangements to secure your computer and files with anti-virus and Internet security solutions.
- Discounts in the Campus Computer Store. However, you can still purchase software from the store for up to six months after graduation . Use of the Blackboard service.
- Use of the student computer labs, like the SMF.
- Use of the university’s Public Network Access (PNA) Internet bandwidth.
- Use of the campus Print Relay System (PRS) server.
What isn’t deactivated when I graduate?
Your UT EID and password are still active after graduation and still connect you to the university. You will need this information to order copies of your transcript, apply for a job at the university, or periodically update your contact information with the registrar’s office.
How does my graduation affect my Facebook account?
Your ability to use Facebook to network with other UT Austin students will expire, along with your university e-mail, six months after graduation. Before graduating, you may want to change your e-mail address within the Facebook settings to another carrier, such as Hotmail, Yahoo, or Gmail. You may also decide to use an alumni e-mail address, such as one from Texas Exes. However, this does not allow you to network with currently enrolled students at the university.
What about my Microsoft software?
If you are using Microsoft software obtained through the Microsoft Campus Agreement, your current software license will convert to a perpetual license upon graduation. This means you will then own the software that you are currently leasing. Prior to graduation, you will receive an e-mail from Software Distribution & Sales with instructions on how to obtain a Student License Confirmation, your proof of ownership for this software.
