Telephone Access to SmartVoice Voice Mail
Logging in to SmartVoice
If this is your first time to access SmartVoice, please see Logging in to SmartVoice for the First Time before proceeding.
To log into SmartVoice:
- Call the SmartVoice server access number, 232-1000.
- At the mailbox prompt, enter your box number, then press #. If you're calling from the phone line associated with your mailbox, you can just press #.
- Enter your SmartVoice password and press #.
Changing Your Password
To change your password:
- Log into your mailbox.
- Press 84.
- Enter your new password, then press #.
- Confirm your new password by entering it again, then press #.
- Enter your old password, then press #.
Note: If you have lost your password and need to have it reset, you must call the ITS Help Desk at 512-475-9400.
Listening to Messages
When you log into your SmartVoice mailbox, you will hear how many voice and text messages you have. Voice messages are those that contain a recorded message. Text messages are created when you receive an e-mail in your voice mail box or when someone calls you and hangs up without recording a message.
Each message is preceded by a "message envelope," which contains information the caller's name, phone number, and the time and date of the call. You can customize SmartVoice to suppress the message envelope if you do not want to hear this information.
To listen to a message, log in to SmartVoice, then press 2.
Messages are played in the following order:
- New (not yet listened to) voice messages
- New (not yet listened to) text messages
- Saved voice messages
- Saved text messages
You can customize SmartVoice to play new messages automatically if you prefer.
Creating and Sending Messages
If you can't reach someone on the phone, you can leave a voice message in the usual manner. Alternatively, you can create and send a message by phone to another SmartVoice mailbox. If you send a message in this manner, the recipient's phone will not ring, but they will see a new message notification.
To create and send a message:
- Log in to SmartVoice, then press 75 to create a new message.
- Enter the recipient's SmartVoice mailbox number.
- Press 5 to record the message, then press # to end recording.
- Press 79 to send the message.

Forwarding Messages
You can forward a message you received to another SmartVoice mailbox using the telephone.
To forward a message:
- Log into SmartVoice, then press 73.
- Enter the 5 digit mailbox number you want to forward the message to, followed by #. Repeat as needed if you need to forward the message to multiple mailboxes.
- Press # again after all recipient boxes have been entered.
- If you would like to preface the forwarded message with a comment, press 5 to record the comment, then # to end the recording. If you do not want to add a comment, go to step 5.
- Press 79 to forward the message.
To delete the forwarded message, you must delete both the original message and the outgoing copy that you created in the above steps.
To delete messages you have forwarded:
- Press 76 to delete the outgoing copy.
- Press 4 to return to the previous message (the original message).
- Press 76 again to delete the original message.
Customizing SmartVoice
Once you have set up your mailbox, you may want to use some of SmartVoice's many customization features to make it work efficiently for you. For example, you can configure SmartVoice to:
- Ignore when someone calls and does not leave a message (by default SmartVoice leaves a "Called, no message" message).
- Remove the "message envelope" - the date and time of the call - from your messages.
- Play voice messages without prompting.
Recording Voice Greetings
With SmartVoice, you can create as many greetings as you like. The specific greeting that plays for a call might be based on the calling number, the number dialed (if you have more than one phone number), or the time of day or day of the week.
SmartVoice supports external greetings, which are played for all callers, and spoken name greetings, which are used for system identification.
Note: Internal greetings are not supported by the UT SmartVoice system.
To record your spoken name:
- Log into SmartVoice using a phone.
- Press 89 to access your spoken name.
- Press 5 to record, then say your name. Press # to stop recording.
- To enable your name, press 3.
To record a new voice greeting:
- Log into SmartVoice using a phone.
- Press 82 to access your greetings.
- Press 1 for your external greetings.
- Press 75 to begin recording.
- Press # to end recording.
- Press 2 if you wish to review your greeting.
- Press 3 if you are ready to enable the greeting.
To re-record a voice greeting:
- Log into SmartVoice using a phone.
- Press 82 to access your greetings.
- Press 1 for your external greetings.
- The telephone assistant will read you the name of your first enabled greeting. Note: If you have multiple greetings, you can navigate them by pressing 6 for the next greeting, or 4 for the previous greeting.
- Press 2 if you wish to review the greeting.
- To re-record the greeting, press 5, and follow the prompts.
- Press # to end the recording.
- Press 2 if you wish to review the recording.
- Press 3 if you are ready to enable the greeting. Caution: If you have multiple greetings, you should only enable greetings that have schedules which do not conflict with other greetings.
By default, SmartVoice plays your external greeting for all callers. However, if you want different greetings depending on the calling number, day of the week, etc., refer to Scheduling Voice Greetings.
Enabling Greetings
A greeting must be enabled before it will play. To change the enabled status of your greeting:
- Log in to SmartVoice, then press 82.
- Press 1 for External Greetings
- The telephone assistance will tell you how many greetings you have and then give you the enabled status of the first greeting.
- To enable a disabled greeting or to disable an enabled greeting, press 3.
- To skip to the next greeting, press 6. To return to the previous greeting, press 4.
Creating Scheduled Voice Greetings
You can schedule different voice greetings that play according to conditions you define. You can have a greeting for calls from a particular number, calls on a particular day of the week, or even the time of the day, etc.
Scheduling multiple greetings is a two step process: first, you must schedule the greetings using either the SmartVoice desktop application or the Web application; second, you must record your voice greetings using a phone.
Setting Message Sensitivity
By default, the sensitivity of a message is set to standard. However, you can change message sensitivity to either urgent or private.
To change a message's sensitivity:
- Create the message, then press 70 to set sensitivity.
- Press 2 for standard, 4 for private, or 1 for urgent.
- Press 79 to send the message.
Using Express Messaging
Use Express Messaging to send a message without logging into your mailbox or dialing the recipient. You will go directly to the recipient's voice mail without ringing his or her telephone.
- Dial the Express Delivery number, (512)-232-1001. (Hint: If you're on campus, dial 2-1001.)
- Enter the recipient's mailbox number and press the # key.
- Record your message.
- Press # to end recording.
- Press 79 to send the message.
