Web Access to SmartVoice Voice Mail
Getting Started: Logging on to SmartVoice Online
To log on to the SmartVoice online:
- Go to the SmartVoice Web server at http://smartvoice.utexas.edu.
- Select the EID User Login if you have an individual mailbox, then use your UT EID and password to log on. Select Non-EID User Login if you have a departmental mailbox, then use the login information provided by your department*.
- Click Login.
*Non-EID passwords should be changed from the default. To do so, click Preferences in the left-hand navigation bar, then click Change Password.
Listening to Messages
To listen to a voice message:
- Select the Mailbox icon or the Destination drop-down menu option to move to your mailbox.
- Select a voice message to listen to. New messages begin to play automatically.
Note: For privacy, you may wish to use headphones to listen to your messages.
Replying to Messages
- Open the message to which you want to reply.
- Click Reply. The original message will be quoted in the reply.
- Type your reply in the body section, then click Send.
Creating New Messages
If you want to send someone a voice message from the SmartVoice web application, you can type it in as text and send it. If the recipient checks it using the phone, SmartVoice will read it to them aloud. If the recipient checks it using either the Web application or desktop application, it will appear as a text message.
- Select Message from the pull-down option, then click New.
- Address the message. You can either click Add to select a name from the directory, or you can click a name in a sent message to create a preaddressed message.
- Enter the message text.
- Click Send.
Forwarding Messages
To forward a message of any type to another SmartVoice user:
- Open the message.
- Select Forward to create a copy of the message (including any attachments).
- Address the message.
- Make any changes you want to the message body.
- Click Send.
Creating Scheduled Voice Greetings
You can schedule different voice greetings that play according to conditions you define. You can have a greeting for calls from a particular number, calls on a particular day of the week, or even the time of the day, etc.
Scheduling multiple greetings is a two step process: first, you must schedule the greetings using either the SmartVoice desktop application or the Web application; second, you must record your voice greetings using a phone.
Reading Attachments
To read a file that someone has sent you as an attachment in SmartVoice:
- Click the attachment in the message envelope.
- Select either Open or Save, depending on what you want to do with the file.
Sending Attachments
You can attach files, such as Word documents, to messages you send from the SmartVoice Web application. However, attached files can only be viewed using the Web or desktop application - the recipient will not be able to hear the attachment if they check the message from a phone.
To send an attachment:
- Create a new message.
- Click Browse.
- Select the file you want to attach, then click Open.
Adding Contact Information
To add a contact to SmartVoice, you add a "Personal Address" as follows:
- Select Personal Address (FirstClass) from the pull-down option, then click New.
- Enter the appropriate information for your contact.
Viewing Message History
You can view the history of a message, including when it was created, sent, read, replied to, or forwarded. To see the history of a sent message:
- Open the message.
- Click History.
