Sharing Files and Folders with Others at the University

WebSpace allows you to give current UT Austin students, faculty, and staff members access to specific files, without making the files completely public. If the person you want to share a WebSpace file with is not associated with UT Austin, refer to Sharing Files and Folders with Individuals Outside of UT Austin (Using Tickets).

Sharing Files and Folders with WebSpace Users

To use this method of sharing files, the person you are sharing your files with must be a current UT Austin student, faculty, or staff member. However, if the person you want to share a WebSpace file with is a student who has chosen to restrict name, e-mail address, or UT EID information through the Registrar's Restrict My Info tool, the following procedure will not work. You must instead create a ticket and e-mail it directly to the student.

To begin sharing files, assign permissions to individual users.

  1. Right-click the file or folder you want to share, and then select Share from the pop-up menu.
  2. Enter the e-mail address of the person you want to share your file or folder with. If you want to share the file or folder with multiple people, enter their e-mail addresses separated by semicolons.
  3. Set the permissions you want to give the person you are sharing with by selecting either the Viewer, Contributor, or Full Access radio button.
  4. Click Next.
  5. WebSpace automatically sends e-mail notifications to everyone you are sharing the file with. If you do not want people to receive an e-mail notification, make sure the Send the below email when I click Finish is not selected.
  6. If you want to customize the notification e-mail, enter your changes in the Subject field and/or the message text area.
  7. If you would like to receive a copy of the notification e-mail, make sure the Also send the email to me check box is selected.
  8. Click Finish.
