Frequently Asked Questions (FAQ)

Where is "Ask Carla"?

The Ask Carla site was originally created before many of the Provost's Office resources were available on-line. So now that Carla has retired, we are replacing the Ask Carla web page with a listing of frequently asked questions and links to lists of the Provost's Office staff responsibilities, both by function and by name.

Q: Who do I call to get verification of employment for faculty?
A: The department chair or his/her Executive Assistant can verify employment.

Q: Where would I find the faculty to student ratio for UT as a whole or for a particular school/college?
A: Our Office of Information Management and Analysis Statistical Handbook has great information, including what you're looking for!  http://www.utexas.edu/academic/oir/.

Q: How do I request authorization to send email to ALL UT Austin Employees?
A: You may request authorization to send an e-mail to All UT Austin Employees through the University Group e-mail system located in UT Direct. From the UT home page, click on UT Direct in the light gray bar below the tower. In the side bar RELATED CATEGORIES AND SERVICES on the next page, click on Group E-Mail and follow the instructions for Request A New Authorization under the Navigation Menu.

Q: How long are faculty required to keep exams if the exam was not formally returned to the students (e.g., a sequestered final exam)?
A: Taken from HOP 4.05:  A student has the right to have either returned or made available to him/her for examination or inspection, all written materials submitted to meet the requirements of the course.  (To be "made available" does not guarantee a right for a photo-copy but the materials may be examined or inspected in the office.)  The faculty member or department is required to retain for a period of at least one long semester following the completion of the course, all written materials that have not been previously returned.

Q: Who can provide specifics for Fall Orientation.
A: Wanda Brune, Administrative Associate, Office of the Dean of Students, 512/471-3304, wbrune@mail.utexas.edu.

Q: Do faculty accrue vacation leave during the summer while they are appointed in a research status?  Is it correct that faculty only accrue sick leave, but not vacation leave?
A: Faculty do not accrue vacation while on instructional appointments. However, those holding faculty status who are appointed half-time or greater for four and a half months or longer in a non-instructional title (e.g., research professor, research fellow) accrue vacation on the same basis as any A&P and Classified employee.

Q: Where can I find out about faculty position openings and how to apply for them.
A: Visit the UT Austin Faculty Recruitment Web site, http://facultyjobs.utexas.edu/, which lists faculty openings at The University of Texas at Austin. The search committee chair, or contact person, is provided in each position vacancy notice.

Q: Does the University impose any requirements on how we award scholarships? Our Center has received corporate funding to provide scholarships to migrant students.  The funder did not provide specific requirements on awarding the scholarship, but we understand their intent.  Does the University impose any requirements on how we award the scholarships?
A: I advise you to contact Student Financial Services http://www.utexas.edu/student/finaid/services.html and/or the Resource Development Office, http://www.utexas.edu/supportut/dev_staff/index.html

Q: Who do I contact to verify that an individual has received a degree from the University of Texas at Austin?
A:

Contact the Enrollment Certification Section in the Registrar's Office at 475-7540 or the automated system on Tex at 475-9800, Option 52. For your reference, here is the website address showing contacts and other useful information in the Registrar's Office: http://www.utexas.edu/student/registrar/.

Q: Is there a policy against transporting students in 15-passenger vans.
A: The University's 15-passenger van policy is at this time governed by the UT System's policy that is found in its Business Procedure Memorandum (BPM) 16-05-02. That policy provides, that a maximum of 9 occupants is allowed, and that they can be driven only by persons who are "authorized" to do so, i.e. UT employees who have received van specific training with a behind the wheel, hands-on component. The BPM is available at www.utsystem.edu/bpm/16.htm, on page 5.  The authorization requirements are on page 3.  Departments are encouraged to rent a van such as a Suburban for such trips because they are safer and no special driver training is required.

Q: I would like some input from UT-Austin on the budget for the Affirmative Action Office
A: Ms. Linda Millstone, Associate Vice President for Institutional Equity & Workforce Diversity, will be able to help you.  She can be reached at (512) 471-1849 or by email at lindam@austin.utexas.edu

Q: Where would I find information on average faculty salaries, percent tenured, and counts by rank, gender, college, and ethnicity?
A: The Office of Information Management and Analysis generates data on faculty including, FTE counts, average faculty salaries, percent tenured, and counts by rank, gender, college, and ethnicity. Student/faculty ratios are presented, along with faculty/staff headcount by job category, ethnicity, and gender. View a listing from a specified school year at: http://www.utexas.edu/academic/oir/
