How do I explain anonymity to our employees?

The full statement is available on-line. The basic elements used to assure anonymity include: 1) The University of Texas at Austin serves as an outside, objective, and secure source.
2) Each survey instrument is coded for security purposes, used to insure a valid survey instrument and is not associated with a specific individual.
3) Demographic data is returned to agencies as summed numbers, not as individual responses.
4) If any category or combination of categories (demographic or organizational codes) on the survey contains less than 5 individual responses, that data for that specific category or combination will not be returned to the organization. 
5) On-line: no specific information regarding your computer’s IP address, time or location, is collected by our on-line data system. If you feel uncomfortable using your desktop machine, consider using a common Internet terminal at work, the public library, or any computer with Internet access.
6) At any time, participants can decline to answer an item or demographic question perceived as uncomfortable and still have their survey count.

What if I have an employee requiring a special accommodation to complete the survey?

We can provide a large print version, a Braille version or a text only version. We can take responses over the phone or provide an interviewer for Austin agencies. Please contact the survey office at (512) 232-9499 to set up arrangements.

Can I still allow an employee to participate after the deadline?

Yes. Check your survey packet for an extra copy of the paper survey and use an interagency envelope to mail it to the survey office. If the employee took the survey on-line, use the same Internet Access Code and organizational codes. Have the employee click through the items without answering until the Additional Items page appears on the screen. Answer these items only then submit the survey. This is the only way an Internet Access Code can be used a second time.

Be prepared for employees who ask, “What is our agency going to do with the information?”

When these inquiries are received from participants, The Survey Office will report that survey results go to the survey liaison. We will refer employees back to you, their liaison, for details.

Can an employee’s survey responses be accessed through an open records request if we work for a state office?

No. If such a request was received, it would not reveal any individual responses, only general information aggregated into categories. Participants may decline to answer uncomfortable questions and still have their survey count.

When can I expect to receive the survey packets? 

We attempt to deliver on or before the date on the timeline. We process the request on a rolling
basis and you may receive your packets up to a week prior to that date.

What do I do if an employee has lost the Internet Access Code?

In the packet you received with the surveys, there were additional codes available for you to use at your discretion.

What should I do with left over surveys from employees who have left?

Please return them to us to update your count or you can give them to new employees or to an employee who has lost or needs a new survey.

What do I do if I need more packets?

Where do I return complete packets?

How do we extend our deadline? 

Upon request we can automatically extend the deadline. For hardcopy surveys - we automatically close data collection 10 days following your official cutoff to allow for the mail to arrive and for processing.
