Diversity Education Hour Guidelines
The following guidelines should aid in clarifying how staff may receive credit for diversity education hours which are required of every staff member of the Division of Housing and Food Service. Diversity education hours are counted from January 1 through December 31, which equals one calendar year.
To receive credit consideration for any category that is not represented below, you must submit a TXCLASS form and any supporting documentation to the administrative assistant for Organizational Diversity and Development. The information will be reviewed and you will be notified, if credit will be allowed.
TXCLASS is used to track all training activities, including diversity education. If the activity or training in which you have participated is not listed in TXCLASS, we will not be able to track it or assign credit.
Please do not submit requests for ?no credit allowed,? categories.

Supervisor arranged or facilitated Diversity Sessions
These may be counted, as long as the following guidelines are observed:
- TXCLASS form must be submitted by the staff member?s supervisor.
- All areas of the form must be properly completed.
- The description section should be a concise overview of the training session.
- A list of learning objectives must be included.
- You may receive up to one hour of credit (maximum) for each separate presentation topic or for facilitating a session you have previously participated in
- Credit will only be allowed once a year for each separate topic, regardless of how many times you present the topic or session, or the difference in audience.
- You must complete and submit a TXCLASS form with all pertinent information.
- You may receive up to one hour of credit.
- Supervisor approval is required prior to the session. Supervisor should be present.
- Session must contain meaningful interaction between audience and presenter.
- You must complete and submit a TXCLASS form with all pertinent information.
- A copy of the conference program booklet must be submitted at the time the TXCLASS form is submitted.
- Supervisor approval to attend the conference is required.
- When you return from the conference you must give a brief overview of your conference experience and what you learned from the sessions you attended to your immediate work area.
- A one-page typed trip summary is required.
- You must complete and submit a TXCLASS form with all pertinent information.
- These are diversity education-designated presentations.
- Be sure to sign or initial the sign-up sheet.

- Supervisor meetings that will include diversity topics will be designated by the DHFS Director. Appropriate credit hours will also be designated by the DHFS Director, and assigned by ODD. Credit will be given based on signatures on the sign up sheet.
No Credit Allowed
Committee Meetings:
- Committee meeting time, regardless of nature of committee work, will not count toward diversity education hours.
- No credit will be given for attendance.
- No credit will be given for work toward creation of cultural dinner program. This is considered to be a part of your job expectation.
- No credit will be given for the creation of diversity bulletin boards.
Diversity Education Hours Requirement
- Central Management Staff - 16 Hours
- Supervisors - 12 Hours
- Assistant Supervisors & Team Leaders - 8 Hours
- Staff - 3 Hours
The following adjustments have been approved for staff members who begin work with DHFS after the beginning of the year (January).
- January 1 thru July 31 - Complete all required diversity hours.
- August 1 thru October 31 - A minimum of three (3) hours is required.
- November 1 thru December 31 - No set hours required.
This adjustment applies to all new full-time DHFS staff members.
Supervisors should remind their areas that there are also diversity education opportunities available outside of the ones offered by DHFS. Checking the ODD diversity calendar, Misc Notes, and campus wide and local events, will yield a wider variety of opportunities.
