When to Submit a Reservation Request
Request should be made as soon as possible, as space in The Texas Union is limited, and made no later than two working days prior to your event to avoid late request fees. There are several rooms that are in high demand, and requests for these rooms should be made as soon as possible. The Ballroom, Santa Rita Room, Showroom and Theatre are the largest spaces in the building and are reserved quite regularly. The Ballroom, in particular, is booked quickly and is unavailable for reservations most Monday and Wednesday nights. The Board of Directors', Sinclair Suite and Governor's Room are also popular meeting spaces.
SINGLE EVENTS - University departments, registered staff organizations, registered student organizations, and Special Use groups may book space for single events at any time on a first-come first-served basis.
SERIES EVENTS (weeklv or monthly meeting) - Reservations for series events held in the Spring Semester will be accepted in mid-November and for the Summer and Fall Semesters in mid-March. Notification of the exact dates for submitting requests will be emailed to registered student organizations and departments and signs will be posted in the Reservations Office.
