Cancellation and No Show Policies

If a cancellation is necessary, notify The Texas Union Reservations Office in Person by filling out a Room Cancellation Form or email as soon as possible. Cancellations must be submitted at least two (2) business days (minimum of 48 hours) before the scheduled event to avoid a cancellation fee in any room except The Ballroom and Santa Rita Room. A reservation in the Ballroom or Santa Rita Room must be cancelled 2 weeks prior to the event or a cancellation fee of $100.00 will be levied. Cancellation forms may be obtained in UNB 2.400 and must be submitted with an authorized representative signature for the cancellation request to be valid. A $10 processing fee and the cost of audio/visual equipment and set-up fee will be levied for each late cancellation.

Any organization or department that makes a reservation in The Texas Union and fails to honor that reservation by not canceling before the scheduled start time will be considered a "no show". An organization or department will be notified of their first "no show", and a $10.00 processing fee and the cost of set up and audio/visual equipment will be levied.

A second "no show" violation will place the organization on probation. A third no show will result in WITHDRAWAL OF RESERVATION PRIVILEGES OF THE ORGANIZATION FROM RESERVING SPACE IN THE TEXAS UNION FOR THE REMAINDER OF THE PRESENT SEMESTER AND THE NEXT LONG SEMESTER. The second and third "no show" violations will also include the $10.00 processing fee and set up and audio/visual fees.
