Policies and Procedures for the Texas Union
Groups must be aware of and heed the following Union/UT policies and procedures:

To ensure that your event is successful, requests for events in the Ballroom, Theater, Santa Rita and the Quadrangle require a pre-event meeting with Hospitality Staff. In some cases, this may mean that event confirmations will be delayed until after this meeting takes place.

Texas Union Staff determine appropriate sound levels for all amplified sound. Groups must adjust amplified sound accordingly.

Alcohol is not permitted at student events.

Animals are not allowed in the building, with the exception of service dogs.

Bicycles, skateboards and roller skates are prohibited in the building.

Texas Union staff must approve promotional materials placed outside of a room.

Smoking is prohibited in The Texas Union and within 20ft of the building entrances.

Late cancellations and "no-shows" will result in an associated fine. Two week notices are required for larger rooms without which a considerable fine shall be levied.

Damage to the facility, furnishings or other equipment, whether accidental or intentional, will not be tolerated and may result in related charges.

Last minute or late requests for rooms, equipment, furnishings or rearrangement of same are subject to equipment/staffing availability and associated late charge(s).
These items or activities are NOT allowed in the Texas Union building:

Asking for or taking donations including setting out donation or collection jars

Selling T shirts, books, services or any item of any kind including auctions of any kind

Candles, incense, or open flames
-
Taping flyers, notices or decorations to restricted surfaces in the building including podiums, doors, floors, ceilings and walls

Bringing in balloons of any kind (helium or otherwise)

Confetti, glitter, sand, hay, rock salt, Silly String, shaving cream or dance powder of any kind
-
Dancing activities deemed unsafe including stage-diving and mosh-pits
-
Fog or smoke machines
-
Switching reservations with another group
-
Weapons of any kind (real or facsimile) including canes, sticks, & any elongated object
-
Exceeding stated room capacity
-
Gambling
-
Painting or constructing anything in the building
-
Remaining in the building after closing
-
Disregarding directives issued by Texas Union Staff
-
Propping open doors with an object or wedge
-
Adjusting thermostats
-
Blocking entrances or hallways with objects, furniture, or participants
-
Moving furnishings inside or outside of reserved rooms
-
Bringing in homemade food, food that requires cooling or heating and/or food from restaurants or outside caterers
-
Providing store-bought, non-perishable food without a signed food waiver in place
Violations of policies and procedures can result in disciplinary action up to and including withdrawal of room privileges.
