Upgrading the Campus-Wide Group Email System

When urgent, informational, and promotional messages sanctioned by the University need to be sent to specific groups across campus, “Group Email” is the answer. Over the past few months, the Group Email Upgrade customer steering committee and project team from Information Technology Services (ITS) Applications have been working to address long-standing campus needs for a new, more functional and feature rich solution.

Phase 1 of this project focused on removing the current Group Email application’s reliance on the recently retired University Mailbox Service (UMBS), and this past August, a new server came online that eliminated this dependence. Phase 2 of the project—which is in flight—includes development of a custom solution for processing urgent messages and the use of Regroup, a hosted software offering, for informational and promotional group email. The Phase 2 design work 2 is complete, and the project team is now focused on delivering the following:

  • “Custom Urgent” Group Email: dedicated for sending Urgent bulk mail only. Since Urgent emails will typically be sent under highly stressful circumstances, the interface is designed to be simple, fast and minimize user error. “Custom Urgent” group email is on schedule to deploy in the spring, 2013.
  • “Regroup” Group Email: third party, hosted service will replace other bulk email functionality (not Urgent messages). In response to specific requests from the University Staff Council, Regroup will offer a “Marketing/Promotional” category for group email. Regroup is scheduled to deploy in summer of 2013.
